Draft for UNYA-GH review. This text was prepared with the platform and has not yet been approved by UNYA-GH or checked by a lawyer. It is not in force.
1. Who we are
This platform is run by UNYA-GH (United Nations Youth Association, Ghana) for its programme, the Youth Government Initiative. UNYA-GH is the data controller for the personal data described in this notice, and is registered (or will register) with the Data Protection Commission of Ghana as required by the Data Protection Act, 2012 (Act 843).
Questions about this notice go to the Secretariat through the contact page.
2. What we collect
We only collect what we need to run membership, dues and the work of the Initiative:
- Application details: name, email, phone and WhatsApp numbers, date of birth, gender, region, education, occupation, leadership experience, two constituency choices, your motivation, declarations, passport photograph and CV.
- Vetting records: the scores and notes of your vetting panel, your result and the constituency you were allocated. Only the Speaker, the Vetting Committee and the Clerks see these.
- Account data: your login email, a scrambled (hashed) version of your password, passkeys, sign-in times and devices.
- Membership records: offices you hold, committees, attendance, dues invoices and payments, standing and any sanctions.
- Payment confirmations from our payment provider. We never see or store your card number or Mobile Money PIN.
3. How we use it
- To review your application, verify your identity and create your account.
- To place you in a constituency and record your offices and committees.
- To raise dues invoices, take payments, send receipts and calculate your standing.
- To send you announcements, event details and important notices by email, SMS and in the portal.
- To keep the platform secure, prevent fraud and keep an audit trail of important actions.
- To publish the public parts of the record: office holders, constituencies and archived terms.
4. Our legal basis
We process your data with your consent (given when you apply), to carry out your membership, to meet legal duties such as keeping payment records, and for the Initiative's legitimate interests in running a secure and accountable organisation. You can withdraw consent at any time, though we may then be unable to keep your membership active.
5. What is public
If you hold an office or a seat, your name, office, constituency, region and caucus appear on the public website and stay in the archive of that term. Your photo, biography and other profile details are only shown if you choose to make them public.
Your contact details, date of birth, dues and standing are never shown publicly.
7. How we protect it
- Encryption in transit and at rest, with extra encryption for dates of birth, phone numbers and sign-in secrets.
- Access based on office: people see only what their office needs, and access ends when their term ends.
- Two-step verification for every office holder and administrator.
- A tamper-evident log of important actions, and regular security testing.
8. How long we keep it
- Published content and the public record of each term are kept permanently.
- Payment records are kept for as long as Ghanaian tax and audit rules require.
- If you leave, we reduce your personal data to what we must keep once the retention period ends.
- Unsuccessful applications are deleted after 12 months.
9. Your rights
Under Act 843 you can:
- ask for a copy of your data (the member portal will let you download it);
- ask us to correct anything that is wrong;
- object to how we use your data, or ask us to delete it where the law allows;
- withdraw your consent.
Contact the Secretariat to use these rights. If you are unhappy with our answer, you can complain to the Data Protection Commission of Ghana.
11. Changes to this notice
If we change this notice, we will update the date at the top and tell members about important changes.
